Connect your own ZoomInfo account to Rembrandt so contact sourcing runs on your ZoomInfo contract, using your data entitlements and your credits.
Overview
Rembrandt finds the accounts worth pursuing. The ZoomInfo integration is how the people at those accounts are identified.
The integration lets you:
-
Source contacts at your target accounts from ZoomInfo
-
Decide which job titles matter to you, and have every search use them
-
Review who was found, and what revealing their details would cost, before anything is spent
-
Export the contacts you approve as a file you import into your own CRM
It runs on your ZoomInfo contract, not ours. Rembrandt orchestrates the searching and the selection. We are not a contact database and we do not resell ZoomInfo data. Every search and every credit is drawn against the account you connect, under your own agreement with ZoomInfo.
Prerequisites
-
A Rembrandt account with completed onboarding
-
Owner or Admin role in Rembrandt (to manage integrations)
-
A ZoomInfo account with an active GTM Data API subscription
-
Permission in ZoomInfo to authorize a third-party application
-
At least one title family configured in Rembrandt (see Step 4)
Setting up
Step 1: Open Integrations
-
Log into your Rembrandt account
-
Navigate to Settings → Organization → Integrations
-
Find the ZoomInfo card
Step 2: Connect ZoomInfo
-
Click Connect on the ZoomInfo card to open its panel
-
Switch on Contact sourcing, then click Connect
-
You will be redirected to ZoomInfo's authorization page
-
Log into your ZoomInfo account if you are not already signed in
-
Review the permissions being requested
-
Click Allow to grant them
-
You will be redirected back to Rembrandt automatically
Step 3: Verify the connection
After authorization the ZoomInfo card shows Connected.
If it still shows Connect, or an error appeared during the redirect, see Troubleshooting.
Step 4: Set your title families and search filters
Sourcing searches for the roles you care about, not for everyone at an account. Two settings control that, and both are yours to edit at any time.
Go to Settings → Organization → Contacts, where each has its own page:
-
Title Families: the groups of job titles worth sourcing, such as Finance Leadership or IT Audit. Each family carries the seniority tiers you want within it. Nothing is sourced until at least one family exists.
-
Search Filters: the job functions to include, the title words to look for, and the titles to exclude outright. Exclusions are how you keep near-miss roles out of the results before they cost you anything.
Changes apply to the next sourcing run. They do not re-run anything already completed.
How it works
Search and enrich are two steps, and the second never starts on its own
Search finds the people at your accounts who match your title families and search filters. It returns names, job titles, seniority and whether a work email or phone number exists for each person. It spends API calls against your allowance and it spends no credits.
Enrich reveals the contact details themselves: work email, direct dial and mobile phone. It costs one credit per person, the first time that person is enriched.
Between the two, the run stops. It reports who was found and what enriching them would cost, and Rembrandt confirms the list with you before any credits are spent. No sourcing run enriches a contact you have not agreed to.
The two budgets
Your ZoomInfo contract has two separate allowances, and it is the second one that usually surprises people:
-
Credits: spent only by enrich, one per person, the first time. Enriching the same person again inside your twelve-month Records Under Management window is free.
-
API calls: spent by every request, including the free searches. Because searching costs calls but no credits, a large sourcing programme can exhaust its call allowance while credits sit untouched.
Rembrandt paces its requests against the rate limits ZoomInfo reports, and stops a run rather than exceeding your allowance.
Where the contacts go
Approved contacts leave Rembrandt as files you download:
-
The research file lists everyone the search found, with the evidence behind each match
-
The CRM import file contains only the people you selected, with the column headings your connected CRM expects
You import that file into your own CRM. Rembrandt does not write contacts into your CRM directly, on any plan. Once the contacts exist in your CRM, your existing CRM integration syncs them back to Rembrandt in the normal way, and they appear against the right accounts.
Download files while the run is fresh. They are removed thirty days after the run.
Managing the integration
Check the connection
Settings → Organization → Integrations shows the ZoomInfo card's current state. A connection that has expired or had its access revoked in ZoomInfo shows as disconnected here.
Change what gets sourced
Edit these at Settings → Organization → Contacts → Title Families or Search Filters at any time. There is no need to reconnect.
Disconnect
-
Go to Settings → Organization → Integrations
-
Click Disconnect on the ZoomInfo card
Disconnecting removes the connection from Rembrandt and stops all future sourcing. To withdraw the authorization itself, remove Rembrandt from the connected applications in your ZoomInfo account. It spends nothing and refunds nothing: credits already spent are spent. Contacts already sourced stay in Rembrandt and in your CRM, and files already generated remain downloadable until they expire. Reconnecting later means authorizing again from Step 2.
Troubleshooting
The connection shows as disconnected
Rembrandt's access has ended. The usual causes are the authorization being revoked in ZoomInfo, an administrator removing the API user, or a subscription change.
Reconnect from Settings → Organization → Integrations. If authorization fails again, confirm with your ZoomInfo administrator that your GTM Data API subscription is active and that your user is permitted to authorize third-party applications.
Sourcing stopped and reported an exhausted allowance
Your ZoomInfo API call allowance for the current period is used up. Rembrandt stops the run rather than pushing past the limit, and spends nothing further.
Remember that searches spend calls without spending credits, so this can happen while you still have credits available. Wait for the allowance to reset, or talk to ZoomInfo about your call volume. Narrowing your search filters reduces the calls each run needs.
A search returned nobody
Usually the filters are tighter than intended. Check that the account's website is correct in Rembrandt, that a title family covers the roles you expect, and that an excluded title is not removing them. Matching is on whole words, so excluding "IT Audit" also removes "IT Audit Manager" and leaves "Internal Audit" alone. A single word such as "Audit" removes every audit role.
Contacts are missing email or phone
ZoomInfo does not hold a work email or phone number for every person. Search reports which contacts have them before you spend anything, so you can leave the rest out of the enrich step.
Permissions
Rembrandt requests two permissions, and only two:
-
Contact data: search for contacts and enrich the ones you approve
-
Company data: resolve your accounts to the right ZoomInfo companies, so searches run against the correct organization
That is the entire list. Rembrandt does not request intent data, news, scoops, technology or website data, and cannot read them. It does not write anything back to your ZoomInfo account.
Best practices
-
Define title families before your first run. A run with no families has nothing to search for.
-
Use exclusions early. Excluding the near-miss titles is free; discovering them after enrichment is not.
-
Watch calls, not just credits. The call allowance is the one that runs out first on a large programme.
-
Enrich narrowly. Search tells you who has an email or phone before you pay for it. Approve the people who move the deal.
-
Download files before they expire. They are removed after thirty days.
Limitations
-
Contact sourcing requires your own ZoomInfo account with an active GTM Data API subscription. Rembrandt does not provide ZoomInfo data.
-
Coverage is whatever your ZoomInfo entitlements cover. Rembrandt cannot return people or fields your contract does not include.
-
Contacts reach your CRM through a file you import. Rembrandt does not create contacts in your CRM directly.
-
Sourcing files expire thirty days after the run.
